1. Who we are
Vital Workwear is a trading name of DecalsLab Ltd, a company registered in England and Wales under number 11502831, registered office Unit C, Chalmers Way, Gillingham, England, ME8 6PF, VAT number GB 451 8208 02. You can contact us at sales@vitalworkwear.co.uk or on 07470 189 739.
These terms apply to every order placed through vitalworkwear.co.uk, by email or by phone. By placing an order you accept them. Please read them together with our Shipping policy, Return and refund policy and Privacy policy.
2. Ordering
Your order is an offer to buy. We accept it when we email you an order confirmation. We may decline or cancel an order, for example if a garment is out of stock at our supplier, if there is an obvious pricing or description error, if payment fails, or if artwork cannot be used (see section 4). If we cancel we refund anything you have paid.
Check your order carefully. Sizes, colours, quantities, decoration methods and positions are as you selected them. If you spot a mistake, contact us straight away; we can usually change an order before the proof is approved.
3. Prices and VAT
- Prices on the site can be shown excluding or including VAT using the switch in the header. VAT at the current UK rate is added at checkout and shown on your order confirmation and invoice.
- Garment prices, decoration prices and delivery charges are those shown at the time you place the order. We may change prices at any time before an order is accepted.
- Decoration is priced per position, per garment. A one-off logo setup (digitising) fee applies to each new embroidered logo. It is not charged for print, for logos we already hold for you, or on orders of 10 or more garments.
- Kit discounts on Build your kit apply to the garment prices in a qualifying kit, not to decoration or setup fees, and are applied automatically at checkout. They cannot be combined with other discount codes unless we say so.
- If a price is clearly wrong we will tell you before accepting the order and give you the choice of paying the correct price or cancelling.
4. Your artwork
- By uploading a logo or sending us artwork you confirm that you own it or have permission to use it, and that reproducing it will not infringe anyone's rights. You are responsible for any claim that arises from artwork you supply.
- We may refuse artwork that is offensive, unlawful, or that we believe infringes someone else's rights, and we may refuse to reproduce club, brand or organisation logos without evidence that you are entitled to use them.
- Vector files (AI, EPS, PDF, SVG) give the best result. Low-resolution images may need redrawing; we will tell you if there is a charge before we go ahead.
- We keep your artwork and embroidery files on record so that we can reproduce it exactly on repeat orders. You can ask us to delete it at any time (see our Privacy policy). Digitised embroidery files are created by us and remain our property; the logo itself remains yours.
5. Proofs and approval
Before any decorated order goes into production we send you a proof showing the artwork, its position and approximate size on each garment. Production starts only when you approve the proof. Please check spelling, colours, positions and sizes carefully: once approved, the proof is the specification we work to, and mistakes that were visible on it are not faults. Changes after approval may incur a charge and extend the lead time. If we do not hear from you, we will remind you; your order stays on hold until you approve.
6. Garments and decoration
- Standard positions (chest, arm, nape) finish at roughly 90 to 100 mm wide; large front and back positions at roughly 280 to 300 mm. Exact sizes are shown on your proof.
- Thread and ink colours are matched to your artwork as closely as available stock allows. Colours on screen vary between devices, and garment dye lots vary between batches; small differences are not a fault.
- Garments are supplied by leading workwear manufacturers through our UK distributor. Specifications, images and sizing come from them. If a garment is discontinued or unavailable we will offer the nearest alternative or a refund for that item.
- Hi-vis and safety garments are supplied as certified by their manufacturer. Adding decoration in the positions we offer is designed to keep the garment within its standard, but it is your responsibility to check that a garment is suitable for the intended use.
7. Payment
Payment is taken in full when you place the order, by card, Shop Pay, Apple Pay or Google Pay through Shopify's secure checkout. We do not see or store your card details. Business customers who need account terms or a pro forma invoice should contact us.
8. Delivery
Delivery charges, areas and lead times are set out in our Shipping policy. Lead times are estimates. Risk in the goods passes to you when they are delivered to the address you gave; ownership passes when we have received payment in full.
9. Cancellation, returns and refunds
Decorated garments are personalised and cannot be cancelled or returned once production has started unless they are faulty or not as approved on the proof. You can cancel free of charge before approving the proof. Plain garments can be returned within 14 days. Full details, including your statutory rights, are in our Return and refund policy.
10. Business customers
If you buy for a business, the consumer protections referred to in these terms and in our Return and refund policy do not apply, and our liability is as set out in section 11. Any purchase order terms you send us do not form part of the contract unless we agree to them in writing.
11. Our liability
- Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law.
- We are responsible for foreseeable loss or damage caused by our breach of these terms or our negligence. We are not responsible for losses that were not foreseeable, for business losses such as lost profit, contracts or goodwill, or for delays caused by events outside our control.
- Except as set out above, our total liability for any order is limited to the amount you paid for it.
12. Events outside our control
We are not liable for delay or failure caused by events beyond our reasonable control, including supplier shortages, carrier failures, strikes, severe weather or utility failures. We will tell you as soon as we can and, if the delay is substantial, you may cancel any undelivered part of the order for a refund.
13. Website content
We try to keep product information accurate but cannot guarantee that every description, image or stock figure is error-free. Content on this site belongs to DecalsLab Ltd or its licensors and may not be reused without permission. Brand names are the trademarks of their owners.
14. Privacy
We use your personal information as described in our Privacy policy.
15. Complaints and disputes
If something has gone wrong, email sales@vitalworkwear.co.uk with your order number and we will do our best to resolve it quickly. These terms are governed by the law of England and Wales and the courts of England and Wales have jurisdiction, except that consumers living in Scotland or Northern Ireland may bring proceedings in their local courts.
16. General
If any part of these terms is found to be unenforceable, the rest still applies. We may update these terms; the version in force when you place an order is the one that applies to it.
